TERMS AND CONDITIONS

1. Application for Space: The application for space may be made only on the official form and should be sent to ARQA Riyadh by e-mail or regular mail. All exhibitor applications are subject to acceptance as described below (section 2). Applications will be considered only upon receipt of the official application form with all necessary materials accompanied by a deposit.

2. Admission: Applications will be accepted and confirmed in writing or by e-mail only after review by ARQA Riyadh within 30 business days, which shall be the sole and final judge of all applications and may accept or reject applications in its undisputed discretion. Exhibitors guarantee accuracy of information and authenticity of works. ARQA Riyadh reserves the right to cancel any accepted application based on false information or non-compliance. Exhibitors will indemnify ARQA Riyadh and hold harmless from any loss or damage resulting from breach of conditions.

By submitting this application you are entering into an agreement with the production company. ARQA ART FAIR | Riyadh 2026, is organized and managed by Impetus World with HST: 75042 2362 RT0001.

These Terms and Conditions govern the exhibitor’s participation in ARQA Riyadh 2026 from October 28 to November 1, 2026. Exclusively.

3. Co-Exhibitors: No exhibitor may sublet their booth in whole or in part. Exhibitors or artworks other than those specified in the application may not be shown.

4. Payment: Deposit of 20% of total requested booth space cost must accompany the application. Balance due 30 days after acceptance letter. Payments not received on time are subject to a 1.5% monthly finance charge (18% annually). Credit card payments incur a 3% fee. Any exhibitor whose rental is unpaid by August 14, 2026 will not be permitted to exhibit, and ARQA Riyadh may reallocate space and retain any payments made.

5. Withdrawals & Cancellations: Before December 30, 2025 → refund minus $150 USD admin fee & bank fees. From January 1 – April 14, 2026 → 50% refund. After April 14, 2026 → no refunds; exhibitor remains obligated for full amount. Exhibitors failing to occupy booths by October 28, 2026, 3:00 pm forfeit their space without refund. In the event of cancellation of the exhibition by ARQA Riyadh, exhibitors shall receive a credit for all payments made, minus $150 USD admin fee and bank fees.

6. Security: Security will be provided 24h/day during installation, exhibition, and dismantling. Removal of artworks during the show requires security pass.

7. Insurance & Liability: Exhibitors must obtain insurance covering fire, theft, burglary, water damage, transport risk, etc. ARQA Riyadh is not liable for direct, incidental, or consequential damages. All damages caused by exhibitors are their sole responsibility.

8. Electrical Services: ARQA Riyadh provides common area lighting. No exhibitor may install independent power connections.

9. General: ARQA Riyadh may, in cases of compelling reasons or Acts of God, postpone, shorten, or extend exhibition dates. Exhibitors violating rules may be expelled without refund. The laws of Ontario, Canada shall apply, with recognition of compliance obligations in Saudi Arabia.

10. Final Agreement: These Terms and Conditions constitute the final and exclusive agreement between ARQA Riyadh and the exhibitor.

11. Compliance with Saudi Laws: Exhibitors must comply with all cultural, religious, and government regulations in the Kingdom of Saudi Arabia.

12. Accredited Suppliers Only: Any external contractors must be pre-approved by ARQA Riyadh.

13. Force Majeure Clause: ARQA Riyadh 26 shall not be liable for delays, cancellations, or damages caused by acts beyond its control; natural disasters, political unrest, pandemics, government orders, etc. However, a proper notification shall be provided to exhibitors and the promotion company will do everything possible to accommodate the needs of the exhibitor to find a suitable solution that could minimize or might eliminate any financial loss, included but not limited to the booth replacement to a different show regardless geographical locations.
